Indian Leave Types and Legal Framework
Earned Leave (EL) / Privilege Leave (PL)
- Accrual: 1 day for every 20 working days under Factories Act; varies by establishment rules for offices
- Minimum entitlement: 15 days earned leave per year (varies by state)
- Carry forward: typically 30-45 days maximum (excess lapses)
- Encashment: at year end (if company policy allows) and at exit
- Advance EL: some companies allow EL in advance before accrual
Casual Leave (CL)
- Typically 8-12 days per year depending on company policy and state
- No carry forward at year end
- Not encashable
- Short-notice or same-day application usually permitted
Sick Leave (SL) / Medical Leave
- Typically 6-12 days per year
- Medical certificate required for 3+ consecutive days
- No carry forward in most policies
- Not encashable
National and Festival Holidays
- National holidays: Republic Day, Independence Day, Gandhi Jayanti — mandatory
- Festival holidays: configurable by company, state, and establishment
- Restricted holidays (RH): employee selects from a list of optional holidays
Statutory Leaves
- Maternity Leave: 26 weeks for first two children, 12 weeks for third child onwards (Maternity Benefit Act)
- Paternity Leave: per company policy (no central law, varies by state PSUs)
- Compensatory Off: for working on weekly off or holiday
- Sabbatical: per company policy, typically for senior staff

- Balance card: printable for employee records
Half-Day and Partial Leave
- Half-day leave: morning half or afternoon half
- Comp off against specific overtime day worked

Holiday Calendar
- National holidays pre-loaded for each year
- Office-specific holidays: different calendars for different locations

Maternity and Paternity
- Maternity leave application: expected date of delivery captured

- ESIC maternity benefit facilitation for ESI-covered employees
Payroll Integration
- Absent days from leave records = LOP in payroll
- EL encashment amount computed at year end or exit and added to payroll
- Leave data locked once payroll is processed for that month
Reports
- Leave summary per employee: current balances and year-to-date usage
- Department leave utilisation: who is taking too much or too little leave
- Leave liability: total EL balance across all employees = financial liability for encashment
- Expiring leave: EL that will lapse at year end — alert to employees to utilise
