Proxy attendance is a common problem in Indian workplaces — a colleague marks attendance on behalf of an absent employee, either out of favour or for money. In factories with hundreds of workers, proxy attendance can represent 2-5% of wage cost with zero productivity. Biometric attendance eliminates this entirely: a fingerprint or face cannot be proxied.

Biometric Technologies
Fingerprint Recognition
- Most common and cost-effective
- Works well for office and factory environments
- Does not work when hands are wet, dusty, or chemically treated (pharma, food processing)
- Device cost: Rs. 4,000-12,000 per unit
Facial Recognition
- Works in all conditions — no contact required
- Hygienic: preferred post-COVID in many workplaces
- Works in low light (IR camera)
- Higher device cost: Rs. 12,000-30,000 per unit
- Mobile facial recognition: app-based for remote or field employees
RFID Card
- Employee carries a card — simple and fast
- Card can be loaned (proxy risk) but easier to control than signing
- Best for vehicle entry, parking, and visitor management alongside employee attendance
- Device cost: Rs. 3,000-8,000 per unit
Palm Vein / Iris
- Highest security: for high-security zones (server rooms, research labs, defence)
- Higher cost and complexity
- Not typically needed for standard attendance

Integration Architecture
Biometric devices store punch records in device memory. Two integration methods:
Method 1: Direct API Integration (Preferred)
- Device connected to LAN / WiFi
- MICS HRMS polls the device every 5-15 minutes and imports punch records
- Real-time attendance visibility in HRMS
- Works with ZKTeco, ESSL, Mantra, Secureye, Hikvision devices
Method 2: File-Based Integration
- Device memory exported as text/CSV file daily
- File uploaded to HRMS (or auto-fetched from a shared folder)
- 24-hour lag in attendance update
- Suitable for older devices without API support
Mobile App Attendance (for Remote Employees)
- Geo-fenced check-in: employee marks attendance only when physically within the office boundary
- Selfie attendance: photo with timestamp for field sales and remote workers
- Client site attendance: mark at client location with client geo-fence

MICS Attendance Processing Features
Punch Processing
- First punch of day = IN time, last punch = OUT time
- Multiple intermediate punches for breaks: tracked separately
- Minimum hours rule: less than 4 hours → half day; less than 2 hours → absent
- Grace period: configurable — 10 minutes late counts as on-time
- Night shift crossing midnight: attendance counted correctly across date boundary
Shift Mapping
- Each employee mapped to a shift: time-in, time-out, hours expected
- Shift rotation: weekly or monthly rotation tracked automatically
- Overtime calculation: hours worked beyond shift hours flagged for OT approval
Exceptions and Corrections
- Missing punch: employee forgot to punch out → auto-mark or manual correction with reason
- Device offline: punch data lost for a period → manual attendance entry for affected employees
- Manual correction workflow: HR corrects attendance with reason and approval trail
Leave Integration
- Leave-approved days automatically excluded from absent calculation
- Half-day leave: one punch expected — system does not flag as absent
- On-duty: travel or field work day marked as present without biometric punch
Reports
- Daily attendance: who is present, absent, late, on leave
- Monthly attendance summary per employee: days present, absent, late, OT
- Attendance register: Factories Act format auto-generated
- Late arrival report: employees habitually late — HR action required
- Absenteeism trend: departments with highest absence rate
Payroll Integration
- Attendance data flows into payroll automatically
- LOP (Loss of Pay) days computed from attendance
- OT days and hours fed into payroll for OT calculation
- No manual data entry between attendance and payroll
